A business email that stops working is not just an inconvenience — it is a direct threat to your revenue and reputation. Every hour your email is down, customers are not getting replies, leads are going cold, and your team cannot communicate. The problem needs to be fixed now, not tomorrow.
At Australian Hosting Solutions, we handle email hosting issues on the phone. Our dedicated support team — available 22 hours a day across Australia and UAE — can access your hosting account, diagnose the fault, and resolve it while you are on the call.
Emails landing in spam is one of the most common and damaging email hosting problems for Australian businesses. The cause is almost always one of three missing DNS records:
| Record | What It Does | Effect If Missing |
|---|---|---|
| SPF | Lists which servers are authorised to send email on behalf of your domain | Emails fail authentication and go to spam or are rejected |
| DKIM | Adds a cryptographic signature to outgoing emails to verify they are genuine | Receiving servers cannot verify authenticity — spam folder |
| DMARC | Tells receiving servers what to do when SPF or DKIM fails | No policy means spoofing is easier and deliverability is lower |
We set up all three records correctly on your domain as part of our email support. Call (02) 9199 8787 and we will check your DNS zone and add the missing records on the call.
| Setting | IMAP (Recommended) | SMTP (Outgoing) |
|---|---|---|
| Server | mail.yourdomain.com.au | mail.yourdomain.com.au |
| Port | 993 (SSL) or 143 (STARTTLS) | 465 (SSL) or 587 (STARTTLS) |
| Encryption | SSL/TLS | SSL/TLS or STARTTLS |
| Authentication | Your full email address + password | Your full email address + password |
If your email client is showing authentication errors even with correct settings, your hosting account password may have changed or the account may be suspended. Call us and we will check and reset credentials on the call.
Email hosting (included with every Australian Hosting Solutions plan) provides business email addresses at your domain (e.g. [email protected]) hosted on our cPanel servers in Sydney. It is included in your hosting plan at no extra cost and suits most small to medium businesses.
Microsoft 365 is a cloud-based email and productivity suite from Microsoft (Outlook, Teams, Word, Excel). It requires a separate Microsoft subscription and uses Microsoft’s servers. If you use Microsoft 365, your MX records need to point to Microsoft’s mail servers rather than ours — we can configure this for you and ensure your DNS is set up correctly.
If you are unsure which one your business should use, call us and we will advise based on your team size and workflow.
This error means the receiving server cannot find the email account or domain you are sending to. For inbound mail, it means the email account does not exist in your hosting account, or your MX records are pointing to the wrong server. Call us and we will check your email accounts and DNS records immediately.
This is almost always an SMTP configuration issue. Your outgoing mail server settings (port, authentication, encryption) are incorrect, or your ISP is blocking outbound port 25. Try switching your SMTP port to 587 with STARTTLS. If that does not work, call us and we will diagnose the exact block.
Sudden email failures are usually caused by one of four things: your domain expired, your hosting account was suspended, your mailbox hit its storage quota, or a DNS change broke your MX records. Call (02) 9199 8787 and we will identify the cause immediately.
The fastest fix is adding or correcting your SPF, DKIM, and DMARC records in DNS. These three records authenticate your email and dramatically improve deliverability. We set all three up correctly as part of our email support — call us and we will do it on the call.
Yes. Every Australian Hosting Solutions hosting plan includes professional email hosting at no extra cost. You can create multiple email accounts at your domain (e.g. info@, sales@, support@) from your cPanel dashboard.
Yes. We configure the MX, TXT (SPF), and CNAME records required for Microsoft 365 to work with your domain. Call us once you have your Microsoft 365 account active and we will set up the DNS records for you on the call.
